Lapland - Incentive Travel storytelling with Sami Culture and Arctic experiences | INCENTIVE STORYTELLING

This incentive trip to Finnish Lapland was designed as a programme combining winter activities with cultural immersion and team integration. A group of executive-level managers from the insurance sector travelled to the Arctic region to experience winter landscapes and learn about the traditions of the Sami people, the indigenous community of Northern Scandinavia. The programme combined outdoor activities with cultural encounters, creating an opportunity for participants to experience the destination beyond typical winter tourism.

Arctic Nature & Indigenous Culture

Starting point

The objective of the project was to design an incentive trip that would combine team integration with an authentic experience of the destination.

Rather than focusing solely on winter activities, the programme was built around two complementary elements:

  • experiencing Arctic nature

  • learning about Sami culture

This approach allowed participants to see Lapland not only as a location for winter adventures, but also as a region shaped by its unique cultural heritage.

Concept

Incentive travel as storytelling.

A central element of the programme was a meeting with a representative of the Sami community, organised in cooperation with a local cultural initiative. The encounter took place in a traditional Sami tent (lavvu), where participants could learn about the history, traditions and everyday life of indigenous communities in the Arctic region. Instead of a formal presentation, the meeting took the form of conversation and storytelling, allowing participants to understand the cultural and environmental context of the region.

Execution

Several days of winter activities in the Arctic environment. The programme combined outdoor exploration with time for relaxation and informal interaction within the group.

Key elements included:

  • snowmobile expeditions across frozen rivers and forests

  • winter trekking and snowshoe walking

  • ice fishing on frozen lakes

  • ice floating in insulated suits in Arctic waters

  • sauna rituals by a natural lake followed by cold-water immersion

Evenings were spent in a resort in the Lapland region, where participants could relax and reflect on the day’s experiences.

Key experiences

One of the defining aspects of the trip was the balance between structured activities and spontaneous moments of interaction. During winter trekking, participants stopped for a traditional outdoor break with coffee prepared over an open fire. These informal moments encouraged conversation and helped strengthen relationships within the group. Shared experiences in the Arctic environment – from snowshoe walking to snowmobile expeditions – reated natural conditions for cooperation and team bonding. The encounter with Sami culture added an additional layer to the programme, encouraging reflection on sustainability, tradition and the relationship between people and nature.

Local culture as a narrative element of the journey.

Meeting representatives of the Sami community allowed participants to experience Lapland through the perspective of people who have lived in the region for generations. Storytelling and dialogue became a natural way of introducing cultural context and creating a deeper connection with the destination. This approach shows that incentive travel can go beyond activities and locations, becoming an experience built around stories, people and place.

Bespoke sp. z o.o. is implementing a project co-financed by European Funds entitled “Hybrid organisation of business events on a global scale through digitisation — a pathway for enterprise development in the new global reality”.

The objective of the project is to enhance the company’s capabilities and competitiveness through the implementation of process innovations that enable the organisation of business events in a fully hybrid or fully online format, in line with client needs.

The project was financed as part of the Union’s response to the COVID-19 pandemic.
Total project value: PLN 299,700.00.
EU co-financing of the project: PLN 254,745.00.

The objective of the project planned for implementation in the Mazovia region is to expand the operations of Bespoke Sp. z o.o. Sp. j. by introducing a new product to the market – virtual tourist tours.

This product will be delivered through the Virtual Mazovian Studio of Cultural and Entertainment Tourism – Culture Space Studio, which will utilize advanced VR and AR technologies to create immersive tourism experiences.

The total value of the project amounts to PLN 673,926.42, including PLN 514,718.10 in EU funding.
